The Problem
Medivance Pharma’s 22-person MR team in Mumbai and Thane visits general practitioners and specialists daily — 8 to 12 doctors per day per MR. Their call reporting process was broken:
- MR visits the doctor
- Scribbles notes in a physical diary
- Eventually fills in the CRM — usually at night or on weekends
- Manager eventually gets a picture of the week — too late to course-correct
The result:
- 58% of doctor visits were being logged (team estimate)
- 10 hours/week per MR lost to manual call reporting
- 4 hours/week of manager time spent chasing visit confirmations
- Zero real-time visibility for the Regional Business Manager
“Mera ek MR roz kehta tha 10 doctors visit kiye. Par database mein 4 entries. Kisko pata sach kya hai?”
— Suresh Nair, Regional Business Manager, Medivance Pharma
What They Tried First
Suresh tried three fixes before WorkBuddy:
Mandatory end-of-day CRM reporting — Compliance went up temporarily, then crashed. MRs were too tired after 40 km of travel to spend an hour on data entry.
WhatsApp report format — Each MR sent a structured WhatsApp message at end of day. Better, but the RBM still had to manually compile 22 messages into a spreadsheet every morning.
Training session on the existing CRM — Temporarily improved accuracy, but the tool was genuinely too slow for field use.
Then a colleague at a pharma distributor event mentioned WorkBuddy.
The Solution
Medivance rolled out WorkBuddy to all 22 MRs in January 2026.
Voice Call Reports After Every Visit
Immediately after leaving a doctor’s clinic, MRs record a voice note:
“Dr. Mehta, Andheri East. Visited today, discussed Cardizone 10mg. Doc ne sample maanga — 2 strips. Competitor kisi ne recently visit kiya tha, brand naam pata karna hai. Next visit 2 weeks baad, Tuesday preferred.”
WorkBuddy extracts:
- Doctor: Dr. Mehta, Andheri East
- Product discussed: Cardizone 10mg
- Samples requested: 2 strips
- Competitor activity: Yes, to investigate
- Next visit: 2 weeks, Tuesday
Total time: 35 seconds. No typing. No evening data entry session.
GPS Visit Log
WorkBuddy logs the GPS location at the time of the voice note, giving the RBM a verifiable field visit record alongside the call report.
Real-Time Team Visibility
Suresh reviews all field activity every morning on the WorkBuddy dashboard. He can see which MRs visited which doctors, which samples were requested, and which competitors are being mentioned in the field.
“Pehle Monday ki morning ko weekend ki reports milti thi. Ab main Friday evening ko hi sab dekh leta hoon. Game changer hai.”
— Suresh Nair, RBM, Medivance Pharma
Implementation
Day 1: 90-minute training with the full team at the Mumbai branch. Each MR made 2 practice voice notes in Hindi. New rule: log every visit before driving to the next one.
Week 1: 71% compliance. 6 MRs needed individual coaching — mostly around speaking clearly and not rushing.
Week 4: 92% compliance. Voice capture had become a habit.
Month 2: MRs started discovering additional features — business card scanning for new chemist contacts, export to Excel for monthly reports, task reminders for sample follow-ups.
“Ek baar habit ban gayi toh easy hai. Ab clinic se bahar aata hoon toh automatically phone nikaalke note karta hoon.”
— Ankit Sharma, Senior MR, Thane
The Results
After 3 months with WorkBuddy:
| Metric | Before | After | Change |
|---|---|---|---|
| Doctor Visit Log Rate | 58% | 96% | +66% |
| Call Reporting Time (per MR/week) | 10 hours | 3 hours | −70% |
| Manager time chasing updates | 4 hours/week | 0 hours | −100% |
| Competitor mentions captured | ~20% | ~90% | +350% |
| Sample request accuracy | Low | High | Significant improvement |
The “3x Productivity” Story
MRs did not suddenly visit 3x more doctors. But their reported activity tripled — because nearly every visit was now captured. The manager went from seeing 58% of reality to seeing 96% of it.
“Team ki actual performance dekhi toh woh pehle se zyada achi thi. Sirf data missing tha.”
— Suresh Nair, RBM
What the Team Says
“Raat ko ghar pe CRM bharna band ho gaya. Bahut relief hai.”
— Kavita More, MR, Andheri
“Visiting card scan karo, contact ban jaata hai. Trade shows mein bahut kaam aata hai.”
— Rohan Desai, MR, Thane
“Maine pehli baar dekha ki kaunsa doctor competitor ke paas shift ho raha hai — field se real time data aaya.”
— Suresh Nair, RBM
Challenges and Solutions
Language variation: Some MRs mix Marathi and Hindi heavily. WorkBuddy handled it well; occasional misreadings were caught during the quick confirmation step.
GPS accuracy: Indoors in large hospital complexes, GPS accuracy varied. Suresh treated GPS as an approximate indicator, not a precise tracker.
Sample tracking: WorkBuddy captures sample requests from voice notes but does not integrate with the physical inventory system. Medivance exports weekly to reconcile with their distributor.
Best Practices for Pharma MR Teams
- Log before the next clinic — don’t batch multiple visits
- Mention competitor names clearly — invaluable for RBM competitive intelligence
- Include sample quantities explicitly — helps with accurate sample planning
- Set a next-visit reminder in the same voice note — zero forgotten follow-ups
The Bottom Line
Medivance Pharma’s field intelligence went from a 3-day-old snapshot to near real-time. Managers stopped flying blind. MRs stopped working extra hours on reporting. And the field data that used to be lost is now captured.
| Before | After | |
|---|---|---|
| Visit logging | 58% captured, manual evening entry | 96% captured, 30-second voice log |
| Manager visibility | Weekly summary, 3-day lag | Real-time dashboard |
